Data Retention and Deletion Schedule

Default lifecycle for customer records, source evidence, backups, security logs, and deletion requests.

Default retention

  • Active Customer Data and source evidence: for the subscription term, unless the customer deletes it sooner or the order requires a different period.
  • After account termination: available for export for 30 days, then scheduled for deletion from active systems within 30 additional days.
  • Backups and disaster-recovery copies: age out through provider-managed rotation, ordinarily within 35 days after active-system deletion.
  • Authentication, security, webhook, and audit records: up to 24 months, unless a longer period is needed to investigate an incident or establish legal claims.
  • Billing, tax, contract, and corporate records: up to seven years or the period required by applicable law.
  • Marketing inquiries: up to 24 months after the last meaningful interaction, unless consent is withdrawn or a longer relationship record is needed.
  • Saved AI narratives: follow the associated customer report or analysis record. Transient API prompts are submitted with storage disabled where supported.

Deletion and legal holds

Workspace owners may request export or deletion through support. Clear Treasury verifies authority, records the request, and deletes or de-identifies applicable data unless retention is required by law, a security need, a dispute, or a written customer instruction. Legal holds pause the affected deletion only for the necessary scope and duration.

Media and derived records

Deletion covers active database records and stored source files. Aggregated or de-identified information that cannot reasonably identify the customer or an individual may be retained. Backup deletion occurs by expiration rather than selective overwrite.
